Fleet Monitoring Clerk
JOB PURPOSE
To monitor the movement, trip performance, fuel usage, driver behaviour and maintenance status of the fleet using GPS/GPRS and telematics systems, and to detect and escalate fuel discripancies, siphoning and other abnormal vehicle activity, supporting efficient port-to-CFS operations and the target of four trips per truck per 24-hour period.
Key Responsibilities
Vehicle Tracking and Monitoring
• Monitor vehicle locations and movements using the GPS/GPRS tracking system.
• Maintain and update the physical fleet monitoring dashboard.
Trip Monitoring and Performance Tracking
• Monitor each trip from port entry to offloading at the MCT CFS.
• Record time spent at the KPA entry gate queue, loading blocks, scanner queue, Gate 24 exit and CFS offloading point, to enable quicker intervention at each stage.
• Identify delays and provide accurate information to support operational planning and improve the target of four trips per truck per 24-hour period.
Fuel Usage and Fuel Monitoring
• Monitor fuel usage and consumption for each vehicle and equipment category against established benchmarks.
• Reconcile fuel issued and refueling records against actual fuel consumption, mileage and trips completed.
• Identify abnormal fuel consumption, unexplained fuel losses and suspected fuel discipancies or siphoning.
• Monitor fuel levels continuously and generate immediate alerts for unusual fuel-level drops, including drops while the vehicle is stationary or outside approved refueling points.
• Record the vehicle, driver, time and location for each suspected fuel discripancies incident, and promptly escalate to the relevant supervisors and managers with supporting data.
• Track recurring fuel loss patterns by vehicle, driver, route and location, and recommend preventive measures.
Driver Behaviour Monitoring
• Monitor speeding, harsh braking, excessive idling and other driving patterns using telematics data.
• Identify unsafe or inefficient driving practices and report repeated violations to the relevant supervisors.
Data Management and Record-Keeping
• Accurately record and update vehicle, trip, mileage, fuel consumption and telematics data.
• Maintain reliable records to support fleet performance analysis, fuel reconciliation and management decision-making.
Alerts and Incident Reporting
• Promptly report suspected fuel discripancies or siphoning, unauthorised stops, route deviations, speeding and other abnormal vehicle activities.
• Escalate critical alerts to the relevant supervisors and managers for immediate investigation and action.

• Organizational
• Communication
• Computer literacy (GPS / telematics systems)
• Attention to detail
Qualifications & Experience
• Diploma or degree in Logistics, Transport Management, IT or a related field.
• 3-4 years’ experience in a similar role.
• Computer literate, with working knowledge of GPS/GPRS tracking and telematics systems.
