Fuel Clerk
Job Purpose
To control the issuance, recording, and reconciliation of fuel for company vehicles and equipment, ensuring accurate inventory and compliance with company policies and procedures
Key Responsibilities
• Issue fuel to authorized vehicles and equipment in accordance with company procedures.
• Verify vehicle registration numbers, driver details, mileage, and fuel authorization before dispensing fuel.
• Record all fuel transactions accurately in manual registers or fuel management systems.
• Monitor daily fuel consumption and identify unusual usage or discrepancies.
• Reconcile daily fuel stock against issued quantities and physical inventory.
• Conduct routine fuel tank dip measurements and maintain accurate stock records.
• Report fuel shortages, leakages, losses, or suspected fraud immediately.
• Prepare daily, weekly, and monthly fuel consumption and stock reports.
• Coordinate fuel deliveries and verify quantities received from suppliers.
• Maintain cleanliness and safety of the fuel storage and dispensing area.
• Ensure compliance with environmental, health, and safety regulations related to fuel handling.
• Maintain proper documentation of fuel receipts, issue vouchers, and inventory records.
• Support fleet management by providing accurate fuel usage data for analysis and reporting.
• Assist in periodic fuel audits and stock verification exercises
Qualifications
• Certificate or Diploma in Business Administration, Supply Chain Management, Logistics, Stores Management, Accounting, or a related field.
• Training in inventory or fuel management is an added advantage.
• Basic computer literacy, particularly in Microsoft Excel and inventory management systems.

• Knowledge of fuel inventory control and stock reconciliation.
• Understanding of fleet operations and fuel consumption monitoring.
• Good numerical and record-keeping skills.
• Strong attention to detail and accuracy.
• Good communication and interpersonal skills.
Experience
• Minimum of 2 years' experience in fuel management, stores, inventory control, fleet operations, or a similar role.
