JOB PURPOSE


To provide administrative and operational support for port activities, ensuring the timely processing of cargo documentation, coordination of port-related activities, and accurate recording and tracking of cargo movements.


Key Responsibilities


  1. Coordinate and follow up on port cargo clearance and movement activities.
  2. Prepare, verify, and maintain cargo documentation, delivery orders, gate passes, manifests, and related records.
  3. Liaise with shipping lines, clearing agents, transporters, port authorities, clients, and internal teams.
  4. Monitor cargo status and provide timely updates on arrivals, releases, loading, discharge, and delivery.
  5. Ensure all required documentation is available and properly filed before cargo movement.
  6. Assist with scheduling and coordination of trucks, drivers, and cargo collection/delivery.
  7. Capture and maintain accurate operational data in relevant systems and registers.
  8. Follow up on delays, discrepancies, missing documents, and other issues affecting cargo movement.
  9. Verify cargo details against documentation to minimize errors and discrepancies.
  10. Prepare daily operational reports and escalate any issues requiring management attention.
  11. Maintain proper records of port transactions and ensure documents are easily retrievable.
  12. Support reconciliation of cargo movements, truck movements, and related operational records.
  13. Ensure compliance with port procedures, company policies, security requirements, and applicable regulations.


Experience And Qualification


  1. Diploma or Certificate in Clearing & Forwarding.
  2. At least 1–2 years' experience in port operations, clearing and forwarding, logistics, or a related environment.
  3. Experience working with port documentation and cargo movement processes is an added advantage.
  4. Good computer skills, particularly Microsoft Excel and Word.
  5. Familiarity with logistics, port, or cargo management systems is an advantage.
  6. Good understanding of C&F documentation and record-keeping procedures.
